| STRATTON SUMMER FAYRE COMMITTEE |
PURPOSE
| The purpose of the Stratton Summer Fayre Committee (the “Committee”) is to promote and organise the Village Fayre (the “Fayre”) which is held annually on the last Sunday of June. |
The Committee will be elected at each Annual General Meeting to be held in July, immediately following the ‘analysis’ meeting of the previous Fayre. The meeting will be open to all interested parties.
The Committee will comprise at least five, and no more than seven, people all
of whom must reside in the parish of Stratton.
Members of the Committee may be elected for more than one term. The members of the Committee will elect a Chairperson, Secretary and Treasurer from within its number.
The Committee will meet on at least four occasions in each twelve month period. All meetings will be announced publicly in advance and may be attended by any interested party.
In order for a Committee meeting to be held, a quorum of at least five Committee members must be present.
Where it is necessary for the Committee to make a decision by voting, such voting will be done in public. Each Committee member will have one vote. In the event of an equally split decision the Chairperson will cast the deciding vote.
Written minutes will be kept of all meetings held by the Committee and will be made available, on request, for public inspection (within a reasonable time-frame).
The Committee will hold a bank account for the purpose of managing all funds, with the exception of the sum of £25.00 which will be held as petty cash by the Treasurer for the purpose of incidental expenditure.
All accounts will be published and be available for inspection at each Annual General Meeting. |
The Committee will actively encourage the support of all members of the parish and seek their commitment to become involved in the organisation and running of the Fayre.
The Committee will strive to ensure that all equipment used in connection with the Fayre is maintained and augmented as required.
The Committee will liaise with the Stratton & Grimstone Village Hall Management Committee, Stratton Parish Council and any other interested parties on a regular basis.
The Committee will have sole responsibility for the distribution of donations made from any profits resulting from the Fayre and any other event that it may stage. |
Financial donations MAY be made to any group, club or registered charity which is: -
a) based in the parish of Stratton OR
b) based jointly in Stratton and another of the Chalk Stream parishes (Sydling
St. Nicholas, Bradford Peverell and Frampton) OR
c) based in another of the Chalk Stream parishes and attended by the residents of the parish of Stratton
AND has been included in a list agreed by the Committee.
The Committee MAY also make a financial donation to: -
a) any project within the parish of Stratton, identified by any resident of the parish of Stratton which would benefit, in the opinion of the Committee, the residents of the parish.
b) any individual, group, club or registered charity not based in the parish of Stratton and not included on the agreed list but which provides a service, equipment or goods for use at the fayre AND does not make a charge for doing so.
c) Stratton Parish Council to assist with any Parish Plan objective or for any project identified by the Council that, in its opinion and the opinion of the Committee, would benefit the residents of the parish. |
APPLICATIONS FOR DONATIONS

Prior to the annual Fayre, the Committee will invite eligible groups, clubs and registered charities to place an application for the allocation of a donation by the Committee in July.
Any eligible club, group or registered charity not submitting an application will not be penalised and may still be awarded a donation by the Committee.
Those clubs, groups and registered charities submitting applications for donations will be considered before those who do not submit an application.
Any resident of the parish of Stratton may make an application to the Committee for the allocation of a donation to any of the eligible causes.
The Committee will consider all applications. |
| The Committee may retain in its bank account any sum of money deemed necessary for the promotion and organisation of the following year’s Fayre. |
| This constitution will be reviewed and amended by the Committee as required and at each Annual General Meeting. Specifically the criteria by which applications for donations are made will be reviewed and amended on an annual basis. |
